Privacy Policy

Indian Photographer Database ("IPD", "we", "us", or "our") operates indianphotographerdatabase.in as a photographer discovery platform and professional workflow service. This policy explains how information is handled across client accounts, photographer/business accounts, freelance Crew Network accounts, enquiries, verification, Studio Tools, private galleries, FaceFind-assisted discovery, reviews, and related services.

1. Account types and separation

IPD supports different account experiences. Client accounts are for couples or other people looking for photographers. Photographer/business accounts can maintain public photographer profiles and professional workspace tools. Freelance crew accounts participate in the private B2B IPD Crew Network and do not automatically create public photographer-directory profiles.

Crew Network profiles, crew rates, equipment details, availability, applications, and private contact information are not part of the client photographer-discovery experience.

2. Information we collect

Depending on how you use IPD, we may collect:

  • account information such as name, email, phone/WhatsApp number, authentication details, and account type;
  • client event information such as event type, date, state, city, locality, enquiry details, and photographer preferences;
  • photographer/business information such as business name, public location, service areas, portfolio, services, styles, experience, website, starting prices, profile images, awards, reviews, and public profile content;
  • Crew Network information such as professional role, base location, travel preference, experience, skills, languages, equipment experience, equipment owned, indicative day-rate range, work links, profile photo, availability, applications, and consent status;
  • verification information such as readiness status, application history, review notes, verification timestamps, and protected location-change requests;
  • Studio Tools information such as availability statuses, quotes, client-gallery records, album selections, review requests, QR-card usage, and related workflow records;
  • billing and plan information for paid IPD digital products, such as plan code, event ID, amount, currency, payment/order identifiers, payment status, timestamps, refund/reconciliation status, and one-free-event usage status;
  • technical and security information reasonably required to operate, secure, diagnose, and improve the service.

3. Public information

Information intentionally published on a photographer/business profile may be visible to anyone and may be indexed by search engines or other discovery systems. Public profile information can include business identity, portfolio, base location, service areas, services, experience, pricing indications, ratings/reviews, awards, and verification status.

Client account records and crew-only account records are not intended to become public photographer profiles. IPD Crew Network discovery is restricted to eligible professional accounts and does not publicly expose crew email or phone numbers.

4. IPD Crew Network

Freelance crew may provide professional details so photographers and studios can search for suitable crew by role, location, availability, experience, equipment, travel preference, rates, or related professional criteria. Crew may also apply to Crew Jobs. Contact details are withheld from ordinary discovery and may be released to the relevant parties after an application is accepted.

An administrator may create an unclaimed Crew Profile from information provided with consent or for invitation/onboarding purposes. Draft or unconsented records are not intended to be searchable. A freelancer may claim an eligible invited profile and thereafter manage it through their account.

5. Verification and protected location data

Photographer verification applications may include a readiness snapshot, review status, administrative notes, and audit history. For IPD Verified profiles, the reviewed base location is treated as a trust-sensitive field. A requested location change does not alter the public profile until IPD reviews and approves it. We may retain the old and requested values, reason, review outcome, timestamps, and reviewing administrator for integrity and audit purposes.

5A. Intelligent Culling limited access

Where an explicitly enabled professional account uses Intelligent Culling, supported image previews selected from the photographer's local folder are analysed in the browser for first-pass grouping and technical evidence. The culling analysis is designed so the selected photo bytes are not uploaded to IPD merely to calculate the local first pass, and the feature does not delete original files from the photographer's device.

Downloaded keeper lists or manifests can contain filenames and local culling decisions. Browser/device capabilities and temporary local processing may vary. RAW-original decoding, biometric face analysis and automatic deletion are not part of the first beta.

6. Client Galleries, album selection, and FaceFind

Eligible professional accounts may use private Client Galleries to deliver event photographs and collect selections. Gallery records may include event details, photographs or storage references, cover images, favourites/selections, upload metadata, access codes, plan and access information and expiry timestamps. Where FaceFind is enabled, a guest may submit a face image or related input so the system can attempt to find visually similar photographs within that private event gallery.

FaceFind is intended as a convenience feature and may return incomplete or incorrect matches. Face-search input is processed for the relevant event search and is not intended to create a cross-event or global identity profile. Private gallery and FaceFind data are not intended to be public photographer-directory content. Account holders using these tools remain responsible for obtaining any permissions or notices appropriate to their event and client relationship.

Where a client purchases a Client Gallery extension, IPD records the extension plan, price snapshot, order/payment references, purchase time, resulting Gallery expiry and protection state needed to deliver and audit that paid term. Client-paid Gallery retention has its own expiry and does not extend the separate FaceFind/AI validity. Album-selection windows also use their own status and expiry and may be reopened by the photographer for a specified period.

7. Enquiries, quotes, reviews, and communications

When you submit an enquiry, quote request, direct booking request, review, Crew Job application, or similar workflow, we process the information needed to route, display, manage, or respond to that request. Secure share links may be used for quotes, reviews, availability, galleries, QR redirects, or other capability-based workflows.

8. How we use information

We use information to operate IPD, including to:

  • create and secure accounts and provide the correct client, photographer, or crew experience;
  • publish and rank eligible public photographer profiles and location pages;
  • route enquiries and support Studio Tools and client-delivery workflows;
  • operate the private Crew Network and its job/application process;
  • review verification applications and trust-sensitive profile changes;
  • prevent abuse, investigate errors, maintain security, and comply with applicable obligations;
  • measure and improve the service.

9. Service providers and disclosure

IPD may use hosting, database, storage, email/communication, analytics, security, payment, or infrastructure providers to operate the service. Information may be processed by those providers only as reasonably required for the relevant service. When paid IPD features are used, payment credentials are entered with the payment processor; IPD may receive transaction identifiers, amount and status information needed to activate, confirm or refund a purchase, but does not need to store full card credentials, UPI PINs or OTPs. We may also disclose information where required by law, to protect users or the platform, or in connection with a legitimate business transfer subject to appropriate safeguards.

We do not sell user personal information to advertisers.

10. Retention

Retention varies by record type and operational need. Public profiles may remain while active; enquiries, Crew applications, verification/audit records, quotes, reviews, and security records may be retained for service integrity and history; private gallery media and related records may have product-specific retention periods. Where an active client-paid Gallery extension applies, the protected Gallery term is retained through its purchased expiry, subject to exceptional security, legal, refund, abuse-prevention or data-integrity requirements. FaceFind/AI data follows its separate feature validity rather than the longer Client Gallery term. After expiry, an optional product-specific grace period may allow renewal before normal cleanup. We may retain limited records where reasonably necessary for legal, fraud-prevention, dispute, backup, or security purposes.

11. Your choices and requests

Users can update many account and profile fields through their workspace. Some trust-sensitive fields, including the verified base location of an IPD Verified photographer, require a review request rather than direct editing. You may contact us about access, correction, account closure, or another privacy request. We may need to verify identity before acting.

12. Security

We use access controls and other reasonable technical and organisational measures designed to protect platform information. No online service can guarantee absolute security, and users remain responsible for protecting passwords, private links, gallery codes, and devices used to access their accounts.

13. Children

The account and Crew Network features are intended for adults. Freelance Crew Network onboarding requires confirmation that the participant is at least 18 years old.

14. Changes to this policy

We may update this policy as IPD features, legal requirements, or data practices change. The Last updated date identifies the current version.
